Consent Management (CRM)

This article refers to the consent management of CRM modules & general referral applications.

Consent from talents can be collected via various options.

  • Consent via a talent form
  • Consent via a link made available to the talent outside of the CRM system, e.g. via email.
  • Consent via a system-generated email (configurable)

The consent texts are stored in the system independently by you during onboarding and can be edited later by the administrator at the same point.

  • Consent text that is stored for the form and the consent link.
  • Consent email

Additionally, you define an expiry date for the consent form.


AND here's how:

Log in to your platform as an admin.

The configuration screen can be accessed under Settings - Account Settings - Consent Management.

1. Consent text

There are two text that can be edited. First, the consent text. Second, the email text

If you click on the language, you can select every language available in your system and see the according preview down below. 

When you click on "Edit text", you will also see all available languages and can edit the text for each of them. You will be able to change the introduction text, which will explain what the consent is for and why it is necessary for the talent to accept and you can change consent question itself. After you have changed the text, don't forget to click the "save"-button. 


2. E-mail

If you want to change the consent Email, you can click on "1 — Consent and email texts" once again and scroll down below. The view is the same as for consent text. Meaning, if you click on language you can select the language you want to preview and after pressing "Edit text", you will be able to select the language that you want to edit. 

Here you can edit the subject of the e-mail and the content of the e-mail. If you want to add variables to the email text you can simply press on the right side on "Add Variables" and select the variable. Since the name and surname will be in our database, their names will be put into those variables and the e-mail is more personalised. 

It is also important to include a consent link. This takes the talent to a landing page where the consent is given. 

After you are done, don't forget to save it!

After clicking on "confirm preferences" the person will be redirected to another window and then they have the choice between giving their consent and declining. This text is taken from 1. 

 


3. Consent validity period

After you have create the text and Email, don't forget to set a validity period for the consent. This can be done under "3 — consent validity period". After you have selected the duration of which your consent is valid, don't forget to the turn the function on.


4. Talent form

This is what it looks like in a talent form:

When creating a talent form, a consent form will always be attached. 

You can add and discard fields, but the consent for GDPR is not optional, but always mandatory.

When you send the form to talent the following screen will appear.

All the fields selected in the forms will be placed on the top and the consent text from 1. will be placed further below. 

Without clicking the box and giving consent, the talent cannot click the submit button.
