Are the automated emails of the system configurable?

Our system offers many different automated emails to your users, which facilitates continuous and long-term communication.

Most of these emails automated from the system are configurable. 

Keep in mind that even though you can configure the content of the email, you cannot decide about the target group or any other conditions. 

List of all configurable emails: 

Recipient: Recruiter 

  1. Email sent to the recruiter about a new application
  2. Email sent to the recruiter about a new reward claim 
  3. Email sent to the recruiter about a deleted application (self-deleted by the applicant) 
  4. Email sent to the recruiter reminding them about a still open application
  5. Email sent to the recruiter reminding them about a reward payout based on the entrance date of the hired application
  6. Email sent to the recruiter reminding them about a reward payout based on the end of the probation period  

Email to the employee informing

  1. Email sent to the referrer about when the application gets put into "hired" status (successful application)
  2. Email sent to the referrer about a successful application - but without a hiring reward attached 
  3. Email sent to the referrer about a rejected application 
  4. Email sent to the referrer about a new application based on a share of them 

  5. Email to ask for registration confirmation 
  6. Email to the employee informing them about an approved reward (incentive)
  7. Email to the employee informing them about a declined reward (incentive) 
  8. Reset Password 
  9. Change Password
  10. Account got locked 
  11. Reminder email: Inactivity over the last 4 weeks 
  12. Reminder email: Registered but no share within the first 2 weeks 
  13. Reminder email: Verify your email after 4 days of registration 
  14. Email to the employee user warning them about a potential account deletion (Warning 1 and 2) 

Recipient: (potential) Applicant 

  1. Email confirmation sent to the applicant about a new application creation 
  2. Email to the applicant informing them about a duplicate application
  3. Inform a potential applicant about a job they got referred on 
  4. Email sent to the potential applicant asking for consent on a General Referral 

 


How do the emails currently look like? (Examples) 

1. The email that is sent to inform a referring person (user/employee) of a successful application including a hiring reward.

We will always use your Company Logo in the emails as well as your CI colours. The promotion of the mobile app can be disabled if you are not using it and therefore don't want to promote it. 


Modification options following the same schema for all emails, example given below:

Merge tags (ex: %applicantName%) will also be included in your changes.

Our emails are divided into different blocks. These can be customised. If you do not want to change a paragraph, the system will automatically fall back on the text that is predefined.

    Thank you for supporting our recruiting team and making our company a better place to work by referring talented people like %applicantFirstName%.
  3. Text block:

2. Email: successful application exclusive hiring reward.

  1. Text block:

With your referral, you have helped make our company even more successful, and %applicantFirstName% has an exciting new job. The text you wish to change can be discussed with your Product Consultant during our onboarding process. The change will be entered into the system from our side. There is an overview of all email texts that we can send you upon request.
