You continuously receive referrals and your talent pool grows. That is a good thing. But this also makes it a challenge to stay up to date and keep track of the latest activities in the system. Never have to miss updates again? React in time to an important event? With automated notifications, you can concentrate on your daily work - and still not miss anything. Simply subscribe to important system updates or configure email notifications according to your own rules.
Automated notifications: Your benefits
Email alerts allow you to be informed about what is happening with certain talent, referrals and forms - alerting you to important updates, for example, to prevent you overlooking candidates or making them wait unnecessarily long.
There are two different types of notifications:
- System notifications, provided out-of-the-box by Talentry to inform the user of important activities in the system that require attention. For example, if a talent pool is shared with you, you will receive a notification from Talentry.
- Custom notifications, which can be created by the administrator and applied to all Talentry users. These notifications can be triggered, for example, when talents are created. With the help of the filter, you can refine the rules accordingly and thus, for example, always receive a notification when a talent has been created via a certain form.
Talentry provides a standard template for email notifications that automatically contains all relevant information from Talentry's system. A [Talentry] tag in the email subject line shows you at a glance that this is a notification from the system and allows you to categorise and sort these mails in your inbox.
Customise settings for notifications
If custom and system notifications are enabled by the administrator, each user can decide for what, how and when they want to receive notifications. This can be easily configured under My Account > Notifications. In addition, the link to the Notification Settings page is at the bottom of each notification email.
Create custom notifications
Configuring customised notifications allows you to automate internal communication to keep up to date with activities in the system without much effort. Each user added to the recipient list thus automatically receives an email notification about the activities that are relevant to him or her. You decide which activities these should be - and Talentry does the rest for you.
This is how you create a custom email notification:
In the Talentry navigation menu, select Settings > Automation > Manage Rules > Create Rule. Then carry out the following steps:
- Select the trigger for your automation.
- Define filter criteria,
- Select the action "Send notification"
- Under "Select recipient" define the distribution list.
As soon as you give the rule a name and save the notification, it is activated for the entire account.
Use cases and examples:
One of the most common use cases is to notify recruiters when a new talent has been created via a specific source. This is especially useful if each recruiter in your team is assigned to a specific area of responsibility, such as managing a recruiting event or being responsible for employee referrals.
Below we have compiled a few common examples for you:
New employee referral - You will receive a notification each time a referral has been made.
Filter: Source = "Referral" & "General Referral “
New registration via a form - You will receive a notification every time new talents have registered via a specific form, e.g. for an event.
Filter: Source information = "Form title".
Talents added to a pool - You receive a notification every time new talents are created and added to a pool
Filter: Pool = "Poolname".
A talent has applied for a specific position - You will receive a notification each time that a new application for this position has been received.
Filter: Source = "Job ID" & Source = "Application".
